Draft. Have an attorney review this before you publish it on your own domain. Replace every item in [brackets].
NiteLine answers phone calls for home service businesses ("clients") and books appointments on their behalf. This policy explains what information we collect when someone calls a client's line, uses this website, or signs up for our service, and how we handle it.
Who this covers
- Callers: people who call a client business and reach our AI receptionist.
- Clients: businesses that use NiteLine, and the people who manage their accounts.
- Website visitors: people who visit this site.
When we answer a call for a client, we act on that client's behalf. The client decides how it uses the information from its calls, and its own privacy policy also applies.
What we collect from callers
- Your phone number, and the date, time and length of the call.
- A recording of the call and a written transcript. Callers are told at the start of each call that it may be recorded.
- Details you give during the call, such as your name, address, the problem you need help with, and the appointment time you choose.
What we collect from clients
- Business and contact details: company name, owner name, phone, email and service area.
- Setup information: services, hours, prices you want quoted, emergency rules and calendar availability.
- Billing details, processed by our payment provider. We do not store full card numbers.
What we collect from website visitors
This site does not use advertising trackers and has no sign-up form. Our hosting provider may keep standard server logs, such as IP address and browser type, for security and reliability.
How we use information
- To answer calls, book appointments and send the client a summary and recording of each call.
- To produce the client's reports: calls answered, jobs booked and estimated value.
- To review calls and fix mistakes so the receptionist works better for that client.
- To bill clients and provide support.
We do not sell personal information. We do not use callers' information to market to them, and we do not use it for any business other than the client they called.
Who we share it with
- The client business you called, which receives your details, the summary and the recording.
- Service providers that run parts of our service under contract: our voice AI platform, phone carrier, calendar and scheduling tool, text and email delivery, payment processor and hosting. [List each provider by name before publishing.]
- Authorities, when the law requires it or to protect someone's safety.
How long we keep it
We keep call recordings, transcripts and call details for [90 days] after the call, unless the client asks us to delete them sooner or the law requires us to keep them longer. Client account information is kept while the account is active and for [12 months] after it closes, for billing and legal records.
How we protect it
Access to recordings and call details is limited to the client and to the people at NiteLine who need it to run and improve the service. Our providers store data with encryption and access controls. No system is perfectly secure, and we will notify affected clients if we learn of a breach involving their data.
Your choices
- Callers can ask for a copy of their recording, or ask us to delete it, by contacting us or the business they called. We'll confirm the request with that business.
- Clients can request a copy or deletion of their account data and call records at any time.
- Depending on where you live, you may have more rights under state privacy laws. Contact us to use them.
Children
Our service is for businesses and their adult customers. We do not knowingly collect information from children under 13.
Changes to this policy
If we make a significant change, we'll update the effective date above and tell active clients by email.
